PrepGuru Academy (PG Academy) runs www.prepguru.academy, where students learn and prepare for tests and our trainers and staff teach and manage classes. This policy explains what information we collect, why we collect it, and how we look after it. By using the website you agree to this policy.
Information we collect
- Account details: your name, email address, phone number and password. Passwords are stored only in hashed form; we cannot read them.
- Enquiries and newsletter: the details you type into our enquiry, contact, test and newsletter forms, such as your name, phone number, email and the course you are interested in.
- Learning records: your course and batch, class attendance, test attempts and scores, assignments and the files you upload, messages, community posts, ratings, certificates and progress reports.
- Fee records: the fees agreed with you and the payments the academy records. We do not take card or bank details on the website.
- Technical information: a sign-in cookie that keeps you logged in, and standard server logs (such as IP address, browser and time of visit) used to keep the service secure and working.
How we use it
- To create and run your account, place you in a batch and give you your classes, tests, recordings and study material.
- To show you and your trainers your progress, attendance and results, and to issue certificates and reports.
- To send you notices about your classes, assignments, fees and messages, in the portal and by email.
- To answer your enquiries and, if you subscribed, send you our newsletter. You can ask us to stop at any time.
- To keep the website secure, prevent misuse and improve our courses.
Google services
Our team can sign in with their Google Workspace account; for this we receive only their name and email address. The academy also connects its own Google account to create Google Meet links for classes and to read the class recordings, transcripts and notes saved in the academy's own Google Drive folders, so they can be shown to the students of the right batch. We do not access the Google account of any student.
PrepGuru Academy's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide these features. It is not sold, not used for advertising and not used to train AI models, and people can read it only when needed for support, security or the law.
AI study tools
When you use the AI tutor or other AI study tools, the question or text you enter is sent to Google's Gemini service to produce the answer. Please do not enter personal or sensitive information into these tools.
Who we share it with
- Your trainers and our staff, who see the details they need to teach and support you.
- Service providers that run the website for us: website hosting and file storage, the database, email delivery, and Google (Meet, Drive and Gemini). They may process data only to provide their service to us.
- The authorities, when the law requires it.
We do not sell your personal information.
How long we keep it
We keep your account and learning records while you study with us and for as long as needed afterwards for certificates, results and our legal and accounting duties. Portal notices are deleted after about four months. You can ask us to delete your account at any time.
Your choices
You can see and update most of your details in your profile. You can ask us for a copy of your information, ask us to correct it, or ask us to delete it, by contacting us as shown below. If you are under 18, please use the website with the permission of a parent or guardian.
Security
The website uses encrypted connections (HTTPS), stores passwords hashed, and only lets each person see what their role allows. No system is perfectly secure, so please keep your password private and tell us if you think your account has been misused.
Changes to this policy
If we change this policy we will update this page and the date at the top.
